Before you draft, interrogate every criterion: geography, organisation type, focus areas, and what costs they will or won’t fund. When in doubt, email or ring the contact listed and summarise your plan in five sentences. This respectful check saves hours and future disappointment. Keep a notes log so next year’s volunteers inherit clarity. If your idea almost fits, consider a pilot that better aligns with outcomes, then reapproach with stronger evidence and partnerships.
List every expense honestly: venue hire, insurance, PAT testing, consumables, spare parts, signage, volunteer training, refreshments, accessibility needs, and contingencies. If match funding is expected, show realistic sources like small local pots, donations, or in-kind contributions. Include maintenance and replacement cycles for tools, describing how you will prolong their life. Transparent, unglamorous costs reassure funders you know operations, not just ideals. Invite peers to share line items you routinely forget when planning events.
